Privacy Policy

How FeeSend collects, uses, stores and protects your information, including data processed through the WhatsApp Business Platform.

Last updated: 21 October 2026

This Privacy Policy describes how FeeSend ("FeeSend", "we", "us", or "our") collects, uses, maintains, stores, and discloses information from users of our platform, website, and mobile application (together, the "Platform"). By accessing or using FeeSend, you consent to the practices described here. If you do not agree, please do not use the Platform.

1. Our Platform and Services

FeeSend is a software platform that helps coaching centres, tuition classes, and small businesses manage member fees and communicate with their own customers ("End Recipients") over WhatsApp. Our services include:

  • Subscription plans (self-service): Platform access to track fees, send fee reminders, collect payments over UPI, chat with customers, manage contacts, groups, tags and templates, mark attendance, send notices and broadcasts, and view collection reports and analytics. Exactly what each plan includes — and the messaging credits that come with it — is set out on our pricing page.
  • Optional expert/onboarding help: We may assist you in connecting your WhatsApp Business number and configuring your account.

Fees and Meta charges. We charge you for the use of the FeeSend Platform (subscription plans and messaging credits). We are not Meta, we are not affiliated with or endorsed by Meta as a billing agent, and we do not charge you on Meta's behalf. Any WhatsApp conversation or per-message fees levied by Meta for the use of the WhatsApp Business Platform are charged by Meta to the WhatsApp Business Account you own; where our fee structure reflects those costs (for example, by metering messaging credits), those charges are for the FeeSend Platform only and are not a charge for Meta or for WhatsApp itself.

Providing these services requires us to process account, billing, technical, messaging, and — where applicable — integration data, as described below.

2. Personal Information

"Personal Information" means information that identifies you, such as your name, email address, phone number, and WhatsApp Business account details. "Sensitive Personal Information" includes passwords, payment data, and other data protected by law. We only collect information necessary to provide our services.

3. Information We Collect

  • Account and identity: Name, email address, phone number, business/centre name, and similar details you provide when you sign up, start a trial, subscribe, or contact us.
  • Billing and payments: Payment-related information is processed by our payment partner. We receive limited billing details needed to confirm subscription status and to comply with accounting, tax, and legal obligations. We do not store full card numbers.
  • WhatsApp and messaging data: Data required to connect and operate your WhatsApp Business Account through the Platform — such as your WhatsApp Business Account (WABA) and phone number identifiers, configuration, message template and delivery metadata, and the content of messages that pass through our systems when you send or receive them. This data is processed in accordance with Meta's WhatsApp Business Terms, the WhatsApp Business Messaging Policy, and Meta's Platform Terms, and in accordance with your settings.
  • Your customers' data (contacts and conversations): Contact lists, phone numbers, tags, custom fields, conversation content, payment amounts and notes, and related data that you or your team upload or generate while using reminders, broadcasts, chats, and the inbox. You are responsible for having a lawful basis to collect and use that data, including obtaining any consent required by applicable law or by Meta's policies. We process it only to provide the services you request.
  • Integrations: When you connect third-party services, we may receive or store credentials, tokens, or payloads needed to sync data and run the workflows you configure.
  • Cookies and technical/usage data: Browser type, device, IP address, logs, and usage statistics to operate, secure, and improve the Platform. We use cookies to enhance your experience; you may disable cookies in your browser, though some features may not function properly.

4. How We Use and Share Information

  • To provide and operate the Platform and the features above — including account setup, fee reminders, broadcasts, chats, integrations, and reports.
  • To communicate with you about your account, billing, onboarding, support, product updates, and (where permitted) offers — and to respond to inquiries.
  • To work with service providers and infrastructure that help us host, secure, analyze, or deliver the Platform — including Meta (WhatsApp), payment processors, email and messaging providers, and cloud hosting — subject to confidentiality and purpose limitations.
  • To improve, secure, and customize our Platform.
  • To comply with legal and regulatory obligations and to enforce our terms.

We do not sell, trade, or rent your Personal Information. We do not use WhatsApp messaging data or your customers' data for advertising or ad targeting. We may share aggregated, non-identifiable data for analytics or business purposes.

We may disclose information if required by law or to protect our rights, our users, or the public. We may also disclose information to Meta and its affiliates as necessary to operate the WhatsApp Business Platform, in accordance with Meta's terms.

5. WhatsApp Business Platform and Meta

FeeSend uses the official WhatsApp Business Cloud API provided by Meta to deliver messages on your behalf. Messages are transmitted through Meta's infrastructure and are subject to Meta's terms and privacy policies. Specifically:

  • We access WhatsApp Business Platform data only to enable the features you request — connecting your WhatsApp Business number, sending messages and approved templates, receiving inbound messages and delivery statuses via webhooks, and displaying them in your inbox.
  • We send messages only to the phone numbers you add to your account. You are responsible for ensuring you have a lawful basis and any required consent to contact those numbers, and for complying with Meta's messaging policies, including template categories and opt-out handling.
  • We do not use WhatsApp messaging content or your customers' contact data for our own marketing, for building advertising audiences, or for any purpose other than providing the Platform to you.
  • You may opt out of messaging with a business at any time by replying with an opt-out request to that business; the business is responsible for honouring it.

6. Data Storage, Security and Location

Data is encrypted in transit using HTTPS/TLS and stored on secure servers. Sensitive credentials and access tokens are encrypted at rest. On mobile devices, cached business data is stored in encrypted device storage and is cleared when you log out. Access to Personal Information is limited to personnel and processors who need it to operate the Platform, under confidentiality obligations. While we take reasonable measures to protect your information, no method of transmission or storage is completely secure.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide the service and to meet legal obligations. When you delete your account, we delete or anonymise your Personal Information, except where we are required to retain it by law. WhatsApp messaging data and your customers' data are deleted or anonymised on account deletion, subject to a short-lived copy that may persist briefly in backups and which ages out on our standard backup cycle.

8. Data Deletion

You may request deletion of your data at any time. You can delete your account from within the app, or request deletion by emailing appfeesend@gmail.com. Please see our Data Deletion Instructions for the exact steps and what happens to your data afterwards. Requests are actioned within 30 days.

9. Your Choices and Rights

  • You may disable cookies in your browser settings.
  • You may opt out of marketing communications at any time by contacting us.
  • You may update or delete your information through your account settings or by contacting us. Some information may be required to use our services.
  • Depending on your location, you may have rights to access, correct, delete, restrict, or port your Personal Information, and to withdraw consent where processing is based on consent.

To exercise any of these rights, contact us at appfeesend@gmail.com.

10. Children's Privacy

FeeSend is a business tool intended for use by adults and is not directed at children under 18. Where member or contact information relates to minors, the business using FeeSend is responsible for obtaining any necessary parental or guardian consent.

11. Third-Party Services

The Platform relies on third-party providers, including Meta (WhatsApp Business Platform), our payment processor, and cloud hosting providers. Your use of those services may be subject to their own terms and privacy policies. We are not responsible for the privacy practices of third-party providers.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be notified in the app or by email, and the "last updated" date above will be revised. Continued use of FeeSend after changes means you accept the updated Policy.

  • Name: Grievance Officer, FeeSend
  • Email: appfeesend@gmail.com
  • Response time: within 30 days of receipt
